Preparing the statement

Which PDF statement to download for conversion

The conversion is decided in online banking, before anything is uploaded. This checklist takes a minute and saves you the later hunt for why the statement would not read.

A digital PDF, not a scan

A digital PDF downloaded from online banking contains a text layer that can be read exactly. A scanned or photographed statement is just an image and needs text recognition (OCR), which can make mistakes. It is easy to tell: in a digital PDF you can select text with the mouse.

A statement, not a transaction list

Accounting needs a statement for a closed period with an opening and closing balance. An overview or an export of selected transactions often has no balances, and then the statement cannot be checked for completeness.

Checklist before converting

  • One file contains one account and one currency, or the converter can split the currencies.
  • The statement covers the whole period without missing pages.
  • The PDF is not password protected; save a protected file without the password first.
  • You have the original file from the bank, not a print of it to PDF.
  • The bank and currency are listed in the converter compatibility matrix.

Several currencies in one PDF

Some payment services, such as Revolut or PayDo, put several currency accounts into one document. For Revolut, VýpisFlow offers each currency as a separate file; for PayDo it counts transactions for the chosen currency only. Then import each currency into its own account.

How to check the downloaded file quickly

Before converting the statement, do a one-minute check right in your PDF viewer. It saves you repeating both the conversion and the import.

  1. Open the PDF and try to select and copy a line with an amount. If you cannot, it is a scan.
  2. Search the document for a specific amount; a digital PDF finds it.
  3. On the first page check the account number, currency, period and opening balance.
  4. On the last page check the closing balance and that the page numbering follows on.

Frequently asked questions

What if my bank only sends a scan?

Try downloading a digital statement from online banking. If that is not possible, VýpisFlow offers local OCR, but the result must be reviewed carefully.

Can I convert a quarterly statement?

Yes, if it is one statement with balances at the start and end of the period. Convert several statements as separate files.

How do I know my bank is supported?

The compatibility matrix lists the verified banks with their currencies and output formats.
