How team access works on the Office plan

One Office subscription covers the whole practice. This guide walks the owner and the invited colleague from the purchase to the moment the subscription ends, including what happens to the data.

What team access is and what it is not

A team on Office is a group of separate accounts sharing one monthly conversion allowance. Office includes 5 users counting the owner and a shared pool of 2000 conversions a month for the whole team. The owner pays for the plan and for any extra seats.

What is shared is the allowance, not the data. Statement files, drafts in progress and conversion history never move between members and stay private. The owner does see how many conversions each member took from the shared pool and when they last converted.

Step 1: Buy Office and create the team

Team access unlocks only with an active Office subscription. Payment, tax and later seat changes are handled by Stripe.

  1. Pick the Office plan in the pricing page and complete the payment.
  2. Open the team page; team management belongs to the subscription owner.
  3. Name the team so colleagues recognize what they are joining.
  4. Add a team photo only if you want to; it is optional.

Step 2: Invite your colleagues

An invitation goes to an email address. The link in it stops working after 7 days at the latest, so an expired invitation is simply sent again.

  1. On the team page, enter the colleague’s email address.
  2. Send the invitation and follow its state in the list.
  3. If the link expires, send the invitation again.
  4. Watch the occupied seats; anything beyond the 5 included users is a bought seat.

Step 3: Accepting the invitation as a colleague

The invitee opens the link, signs in to their own account and confirms joining. From then on they convert from the shared pool, but under their own sign-in.

  • One account can belong to only one team at a time.
  • Someone who already owns a team has to cancel their own Office first, and only then can they join elsewhere.
  • Members see the team name and photo, and each other’s names, email addresses and profile pictures.
  • Their own files, drafts and history stay with them after joining.

The shared pool and extra seats

The 2000 conversions a month are drawn by the whole team together, so whoever is processing clients right now is also spending the allowance. The owner finds the breakdown per member on the team page.

An extra seat costs 149 CZK a month or 1490 CZK a year, matching the interval of the subscription; tax is added by Stripe.

  • Adding a seat is charged straight away, prorated for the rest of the period.
  • Removing a seat applies straight away and the unused part becomes credit on the next invoice.
  • Money for removed seats is not refunded to the payment method.

Leaving a team and ending the subscription

A member can leave on their own and the owner can remove them. The owner cannot leave; they dissolve the team by cancelling the Office plan.

Cancelling Office and downgrading to a smaller plan both take effect at the end of the paid period. Until then the team keeps working normally.

  • Once Office ends, the team is dissolved and members return to their personal plan.
  • Every member keeps their own files, drafts and history.
  • If a payment for Office fails, shared conversions and new invitations are paused until it is settled.

Frequently asked questions

Does every team member need their own account?

Yes. The invitation is accepted under a personal sign-in, so no single password is shared and the owner sees conversions per member.

Can the owner see their colleagues’ statements?

No. The owner sees a member’s conversion count and the date of their last conversion from the shared pool, not files, clients or amounts.

How long is a team invitation valid?

The link in an invitation stops working after 7 days at the latest. The owner sends a new invitation from the team page.
